Overview
This section is for setting up employee (user) information. Each User Personnel Folder holds demographic information, pay rates & payroll, forms, documents and more. User Group assignments can also be maintained in this module.
Required Permissions and Prerequisites
- Similar to a client chart, there are rules for create, view, modify, and delete for each area of the user personnel folder:
- User Documents
- User Group
- User Renewal
- User Misc. Q and A
- User Surveys [insert form name]
- User Survey Tab View
- User Payroll User Payroll
- User View Details Reference (Tab)

Step-by-Step Instructions
Step 1: Navigate to User Personnel Folder
From the top menu, go to:
Administration > User Management > User Personnel Folder
Step 2: Create a New User
Enter all applicable demographics about the user, including NPI, credentials, login information, and employment information. Your practice may choose to add as little or as much information as desired. Please review setting -778 to define any fields you prefer to be required when new users are created.
When creating the password, check the box beside Change Pwd. Next Login which will require the user to change their password when they log in the first time. Remember to Save.
Assign the profile to grant user access to specific modules of PIMSY.
Step 3: Other Tabs in the User Personnel Folder
There are various tabs included in the User Personnel folder, which include:
- User Details Ref. - quick reference of basic user details
- Renewals - reminders for recurring personnel items such as Annual Reviews or CPR trainings
- Clients - a list of clients assigned to the user
- Documents - employee document storage such as New Hire Packets and their digital signature
- Codes / Rates - this lists the codes this user has permission to document on, payroll rates, and the dual-signoff (supervision) indicator (NPI and Taxonomy should be listed for each billing code for electronic billing)
- Payroll - manage salary employees as well as PTO
- Surveys - employee forms
- Groups - view and assign which groups employee is a member of
- Q&A - similar to the surveys tab but for misc. user forms
Additional Information
Please note PIMSY policy prohibits PIMSY staff from resetting a user's password. All employees must be reset from their internal PIMSY Champion.
