Overview
In PIMSY, you can attach a digital signature to a user’s personnel file, which will attach the image to documents that require a signature. There are various methods to retrieve a signature such as by signing a sheet of paper and scanning it, or taking a clear picture of the signature. Once the image file is obtained, it can be uploaded into PIMSY to be used as a digital signature.
Required Permissions and Prerequisites
- This article is in reference to our Desktop application
- The Digital Signature document type should be set to Add to New Users in the Pick List Management.
- When this is true, the Thread Name, Thread Description, and Document Type will auto-populate into the Documents tab each time a new user is created.
Step-by-Step Instructions
Step 1: Retrieve an Image File (e.g., JPG, PNG) of Your Signature
Scan and save the signature image file to your computer.
We highly recommend scanning a piece of paper with the signature on it, or digitally signing your signature with a touch screen tablet and saving the image file to your computer. You may choose to take a picture of your signature on a piece of paper, but this can often result in a colored background that displays on reports.
For the seamless signature, opt for either of the first two options.
Step 2: Save File Under Digital Signatures
- Go to: Administration > User Management > User Personnel Folder
- Select the user for whom you need to add a signature.
- Select the user’s Documents tab and select the thread name Digital Signature.
- Click on the New Document button.
- Complete the Document Description.
- Click Browse to locate the image file and click Save (do not upload a pdf!)
- Make sure to check Active.
- Edit the Effective Date if necessary. PIMSY will attach the signature to all documents based on this date.
- Click Save and Exit.
Step 3: Quick Signature
To create a quick signature, go to the Documents tab within the user’s folder and click the Quick Signature button at the top of the tab.
From the signature window, click Start and have the user sign their name on the device. When finished, click Done and then Save.
Again, take care to edit the Effective Date when necessary.
