Overview
The Codes/Rates tab within each user file is used to set up pay rates for staff when utilizing PIMSY’s payroll feature. This ensures accurate tracking and calculation of compensation based on the services provided.

Step-by-Step Instructions
Step 1: Navigating to User Payroll
From the top navigation menu, go to:
Administration > User Management > User Personnel Folder
Select a user and go to the Codes / Rates tab
Step 2: Determining Fee Structures
When setting up pay rates for users in PIMSY, different billing codes may require different compensation methods. Use the appropriate column in the Codes/Rates tab based on how the user is to be paid:

User Pay Rate as %:
Use this column when a user is paid based on a percentage of what the payer reimburses.
Example: If an employee is paid 55% of the payer reimbursement rate for code 90846, enter 55.00 in this column for that code. Repeat this step for each code paid as a percentage. -
User Pay Rate/Unit:
Use this column when a user is paid a fixed amount per unit.
Example: If the rate for code 90838 is $10 per unit, enter 10.00. So, if 4 units are used, the user would be paid $40. -
User Pay Rate Flat/Session:
Use this column for a flat payment per session, regardless of units.
Example: If you pay a flat $50 each time an assessment code of 90791 is used, enter 50.00 in this column for the 90791.
Step 4: Adding PTO and Salary information
On the payroll tab, you can enter the salary amount a user should receive for each pay period. If you are tracking PTO time in PIMSY, you will want to enter the amount the user has initially, as well as how much gets accrued each pay period.
Additional Information
You cannot assign multiple fee structures to the same billing code for a user. Each billing code should have only one active configuration per user.
Avoid duplicate entries of the same billing code on a user’s profile, as this can cause conflicts in documentation and payroll processing.
Always enter both a Start Date and an End Date for each billing code to ensure accurate tracking and availability. This is how you can control pay increases for users over time.
