Overview
PIMSY offers flexible supervision workflows that allow designated supervisors or QPs to review clinical notes before they are finalized. There are two main options for note review:
The most common workflow allows the clinician to write and release a note for review, after which the supervisor can review, edit if needed, and release it themselves
The second option also begins with the clinician writing and releasing the note for review, but in this case, the supervisor reviews the note and sends it back to the clinician for final release. These workflows support quality assurance while maintaining clinician accountability.

- -131 ALERTS - NOTE - Released for Review and Reviewed alerts
- -369 ALERT - Send alerts to User's Supervisors and note QPs on team member note release
- -107 NOTE RELEASE - Allow QP's to review and release notes
- -108 NOTE RELEASE - Require Team Member Release
- -122 Note RELEASE - Require a Review but Allow the Person Performing the Note To Release it
Step-by-Step Instructions
Step 1: Navigating to a Note
There are many ways to access notes in the system. For the purposes of this article, we will be accessing them from the Notes Screen.
From the top navigation menu, go to:
Clients > Notes
To begin, select the appropriate note from the list and open it. If needed, you can use the filter options to search for a specific client or note, which helps narrow down the results for quicker access.
Step 2: Released for Review
The individual assigned to review notes prior to release must hold the role of a Supervisor (identified on the user who performed the service), Clinician, or Qualified Professional (QP).
When preparing a note marked as "Requires Dual Sign Off" the assigned supervisor must review and sign off on the note. To enable this, go to the user's personnel folder, assign the appropriate bill code, and check the box labeled Requires Dual Sign Off.
If a note requiring dual sign off has been completed by a clinician and marked as Released for Review, the assigned reviewer will receive an alert indicating that the note is ready for review.
Step 3: Private Remarks / Reviewed / Released
The supervisor is now ready to review the note. If edits or feedback are needed for a note, navigate to the Misc Q&A Tracking tab (this may be labeled differently per agency). Select Misc Note Tracking Fields, then click the Clear / New button. Enter your comment in the Reviewer’s Comments box (these remarks are for internal use only and will not appear on the printed note). Once the remark is entered, click Save to record your feedback.
If a reviewer enters remarks or makes changes, an alert will be sent to the note's creator, notifying them that the note has been unreleased and requires edits. Once all necessary edits are completed, the note creator should mark the note as Released for Review again.
If no further changes are needed, the reviewer can mark the note as Reviewed, and the note creator can finalize it by marking the note as Released.
