Overview
With PIMSY's Portal, documenting group services is streamlined and efficient. When a Group Note is created, the system automatically generates individual notes for each designated group member. This feature reduces redundancy and saves the clinician valuable time and effort, whilst ensuring that each client’s record is properly documented.

Step-by-Step Instructions
Step 1: Navigating to the Calendar
From the top navigation menu, go to:
Calendar
Step 2: Scheduling a Group Session
To schedule a session for a group of clients, select the appropriate Client Group within the appointment. Adjust the Start / End Time if necessary. Next, assign a Billing Code, Division, Location, and/or Room.
When scheduling a group session, you should only have the Client Group chosen, not an individual name in the Client Name.
Click Save to save the appointment for all clients in the selected group. Notice after saving a client group, the Group Session Details is exposed.
If you need to adjust the attendees for the current session only, you can search for the client to add by typing the name in the field on the left, then clicking the right arrow to add.
If you need to remove an attendee for the current session only, you can click on the appropriate client, and click the left arrow.
Step 3: Creating the Group Note
From the scheduled group session, click the Group Note section to expand it. Enter a Description and then verify Service Date, Start/End Time, Location Code, Billing Code, Division, and Note Type.
Check the Face to Face box if the session was conducted in person. If the note is collateral, check the Collateral Note box.
Any remarks and session notes can be put in the Note Text section. This text will be copied to each individual's note that is generated from this group session.
Click Save to generate a Group Note #.
Step 4: Customizing Each Individual's Note
Once the group portion is complete, click Generate/Update Notes. This will create an individual note for each of the attendees that has a valid authorization for that code and date of service.
Click Note to go into the individual notes and personalize the individual's note. Once completed, you can release. These notes will appear at the bottom of the screen, where you can easily identify any outstanding notes to release.
