- Client Tertiary Insurance
Step-by-Step Instructions
Step 1: Navigating to the Insurance Tab
From the top navigation menu, go to:
Clients
Access a client chart from the list of clients, then select the Client Details tab from the dropdown. Scroll down to the Insurance section (you may need to click the Insurance header to expand it)
Step 2: Entering the Client Insurance Information
First, enter the Client Legal First Name and Client Legal Last Name if different than what is shown on the client chart.
Next, under the Primary tab, enter the Insurance Company, Group Number (if applicable), Individual Number, Effective Date and Co Pay.
The following fields are not required but provide great overall historical information. Expiration Date, Deductible, # of Visits, and Co. Ins %.
If their insurance requires pre-authorization check the Requires Pre Authorization checkbox. Any remarks or notes can be documented in the Notes field. This is a great place to document any time you must call and speak to the insurance company.
Check the Accepts Assignment checkbox to indicate that the insurance company reimburses the provider directly. By unchecking this box, the payer may mail a check to the client.
Real-time eligibility can be obtained by clicking the blue Eligibility button (if partnered with ClaimMD).
These instructions can be repeated for the Secondary and Tertiary tabs.
At the bottom of the Insurance tab, additional client details such as Employer, SSN, and Relationship to Client can be entered. If this information already exists in the client chart, some fields will populate automatically.
Step 3: Changing the Client's Insurance
If a client notifies you that their coverage has changed, best practice is to add the expiration date to the current insurance and clicking Save.
Once that has been added, repeat the steps above for entering the new payer and policy. This allows for clear history, should claims need to be rebilled.
