Overview
Task Types allow you to categorize and label tasks within the system for better organization and tracking. They also play a key role in categorizing client-initiated messages received through the Client Portal, especially when those messages result in a follow-up task; such as a request for a medication refill. Using Task Types helps ensure that incoming requests are routed and handled efficiently based on their purpose or outcome.

Step-by-Step Instructions
Step 1: Navigating to Task Types
From the top navigation menu, go to:
Administration > Pick List Management
Step 2: Creating a New Task Type
In the Pick List Management screen, search for "task" in the search bar and then click Search. Next, select Task Type from the list, which will bring up the Task Type picklist.
Scroll to blank row at the bottom of the list and enter the new task type you wish to create. Fill out all applicable fields, and select a User Group. Assigning a User Group specifies who will receive that specific task type. Simply click the drop-down caret to select a user group. Please note: If no user group is assigned, the client will be able to select the facilitator of their choice.
Check Expose Message Topic on Client Portal to allow the selected message topic to be exposed on the client portal. Patients who send a message via the Client Portal will have the option to select a Message topic.
Be sure to Refresh Picklists under the Utilities menu when you are done creating task types.
Step 3: Client Portal Messaging
When a client sends a message through the Client Portal, they will have the option to select a message Topic from a dropdown menu. The options that appear in this list are based on the Task Types that have been configured with the Expose Message Topic on Client Portal option checked.
Once the client submits the message, a task is automatically created for the assigned or responsible user, using the selected Task Type. This ensures the message is categorized appropriately and routed for follow-up based on the nature of the client’s request.
If a client selects a topic that does not have a user group assigned, they will be required to select a person to send the message to.
