Overview
The Time of Service Patient Liability feature (TOS Screen) in PIMSY makes it easy for users across multiple locations to quickly identify client charges and process payments in real time. Organized into clear columns, the report shows whether payments have been collected for each session. With built-in auto-syncing, this tool is designed for speed and efficiency, ensuring accurate, up-to-date financial tracking.

Step-by-Step Instructions
Step 1: Navigating to the TOS Screen
From the top navigation menu, go to:
Financial > TOS Patient Liability
Step 2: Organizing the Report
Determine the date range by setting the Start Date and the End Date.
Filter for location and billing code by clicking the filter icon on the top right corner of each column. All active filters will appear at the bottom of the screen.
To customize which columns show, use the Column Chooser by right-clicking on the grid header.
From the TOS Screen, users can verify:
- Upfront Charge to Client – What the client is expected to pay when they arrive (co-pay or co-pay + Coinsurance or the Full Session Charge if self-pay)
- Remaining Balance for Session – Remaining balance of any unpaid patient responsibility from the Upfront Charge amount
- Last Statement Balance – The client’s total due from the last nights compiled statement. This column won’t show if they don’t have precompiled statements active.
- Credit Card On File - Identifies at-a-glance if there is a credit card stored on the chart
Step 3: Taking Payments
To take a payment, click the Payment button. If a copay applies, double click on the copay amount on the far right to automatically populate the payment details. Choose the payment method, verify the information is correct, and then click Save.
If using the integrated credit card processing, the credit card tab will open, allowing you to process the credit card on file.
For payment methods of anything other than credit card, you must click save. Your payment has been processed once you see an Invoice # has been generated in the top right corner.
Please note, you must have clear insurance information on your client's chart to use the Time of Service screen. If your clients do not have clear effective dates, the system will not know what to charge your patient.
